Role Overview:
The Executive Assistant to the CEO is a critical role at the centre of Nuix’s most senior executive relationship. This is not a traditional administrative role - it is an executive function in its own right. The person who holds it operates as a trusted extension of the CEO, managing the rhythm of the business at the executive level and ensuring the CEO can operate at full effectiveness.
The role carries a meaningful Board coordination remit alongside CEO support. This is not peripheral - it is a core part of the job. The EA is the operational hub connecting the CEO, the Board Chair, Non-Executive Directors and the Company Secretary. They ensure the Board cycle runs with precision: scheduling, logistics, materials, travel and the day-to-day administrative mechanics that underpin good governance.
The role requires someone who can read the room, anticipate what is needed before it is asked, manage competing priorities without losing composure, and navigate the political complexity of a listed company environment with discretion and maturity.
As Nuix continues to execute against its transformation agenda, the EA to the CEO will play a supporting role in keeping the ELT connected, the Board cycle on track, and the executive function operating effectively.

The role will be base in our Sydney CBD offices 5 days per week.
Key Responsibilities
Executive Support - CEO
Manage a complex, rapidly shifting calendar across multiple time zones, with full ownership of prioritisation and diary discipline.
Prepare the CEO for every engagement - briefing notes, pre-reads, talking points, and context - so they walk in ready.
Draft, review and triage correspondence on behalf of the CEO, exercising sound judgement on what requires attention, what can be resolved, and what can be delegated.
Coordinate domestic and international travel, including detailed itineraries, logistics, visa requirements and ground arrangements.
Manage expenses, approvals and administrative obligations for the CEO with accuracy and timeliness.
Anticipate the needs of the CEO proactively - surfacing information, flagging risks to schedule or commitments, and resolving issues before they escalate.
Board Liaison
This is a substantive part of the role. The EA is the primary administrative and logistical support for the Board, working closely with the Company Secretary and the Board Chair’s office.
Coordinate all Board and committee meeting logistics end-to-end: scheduling, venue, catering, technology setup, and travel arrangements for Non-Executive Directors.
Track board calendar deadlines across the ELT, following up to ensure submissions land on time.
Manage NED scheduling - meeting requests, director travel, pre-meeting logistics and site visits.
Maintain a forward view of the Board cycle - anticipating workload peaks and coordinating resources accordingly.
Handle all Board-related correspondence and communications with professionalism and complete confidentiality.
Executive Team Coordination
Coordinate the ELT meeting cycle - scheduling, agenda management, pre-read distribution, action tracking and follow-through.
Manage the CEO’s direct engagement with ELT members, tracking commitments and ensuring nothing falls through.
Partner with ELT Executive Assistants and Team Assistants to maintain a coordinated executive support function across the business.
Support key leadership events - offsites, all-hands, SKO - as required, in partnership with P&C and Events.
Act as a central coordination point for cross-functional executive commitments, ensuring the CEO is briefed, prepared and represented appropriately.
Success Metrics (first 12 months)
CEO operating at full effectiveness, with diary and preparation managed to a high standard from day one.
Board cycle running smoothly - zero missed deadlines, materials distributed on time, director logistics handled without friction.
Trusted by the ELT, CoSec and Board Chair’s office as the reliable operational hub of the executive and governance function.
Visible and proactive - known across the business as someone who makes things happen and resolves issues before they land.
Skills, Knowledge and Expertise
Experience
Significant executive assistant experience supporting C-suite or Board-level leaders in a complex, fast-moving organisation.
Experience in a listed company environment highly desirable - familiarity with Board cycles, ASX obligations, investor relations and governance rhythms.
Proven track record managing sensitive, confidential information with complete discretion.
Prior experience coordinating across a senior leadership team or managing a small team of administrative or support staff.
Skills
Exceptional organisational capability - able to manage multiple competing priorities without losing precision or composure.
Strong written communication - produces clear, well-structured correspondence that requires minimal rework.
Technologically fluent - proficient across productivity and collaboration platforms (Microsoft 365, Slack, board portals) and quick to adapt.
Commercial awareness - understands the business context well enough to make intelligent prioritisation decisions.
Politically astute - reads situations accurately, understands complex organisational dynamics, and navigates with care and professionalism.
